Privacy policy

This privacy notice aims to inform you about how we collect and process any information that we collect from you, or that you provide to us. It covers information that could identify you (“personal information”) and information that could not. In the context of the law and this notice, “process” means collect, store, transfer, use or otherwise act on information. It tells you about your privacy rights and how the law protects you.

Except as set out below, we do not share, or sell, or disclose to a third party, any information collected through our website.

Who Are We

We are The Northern Agriculture & Horticulture Society (NAHS) and we run the Annual North Show and Battle of Flowers. We are the data controller responsible for your personal data.

The NAHS is a charity member of the Association of Guernsey Charities (Charity No. 334) and registered with Guernsey Registry (Reference CH353) who’s registered address is Te Anau, Rue Cohu, Castel, Guernsey. GY5 7TQ.

What Information Do We Collect

  • Personal Information: This includes your name, address, e-mail address: phone number; as well as the names and other details about your family members and other participants attending the show, together with other information that you elect to provide to us.

  • Payment Information: Information about your debit/credit card and bank account information provided by you to our payment service providers, that we require for the purpose of processing payment for our goods and services.

  • Other Information: Personal details you choose to give when corresponding with us by phone, email or social media.

When attending the show we have photographers on site who make photographs which may identify you, your family members and other participants and that may be considered personal data. Our photographs may be produced in digital and print format and used for marketing, competitions. We would encourage any person not wishing to be photographed to make themselves known to our photographer.

We do not collect Special Category Information, however this is on occasion passed to us by the client is they feel it is appropriate.

The above is information is generally obtained through a written contract or through e-mail or other messaging medium such as Facebook, Whatsapp, etc and online through our website.

How We Use Your Personal Information

In this Section we have set out:

The source of the usage data is Google Analytics. This usage data may be processed for the purposes of analysing the use of the website and services. The legal basis for this processing is our legitimate interests, namely monitoring and improving our website and services.

  • We may process your personal data that is provided as part of an enquiry about our services (“enquiry data”). The enquiry data may include your name, contact telephone number and email address. for the purposes of offering, marketing and selling relevant goods and/or services to you. The legal basis for this processing is consent, namely taking steps, at your request, to provide information about our availability and services.

  • We may process your personal data that is provided in the course of the use of our services (“service data”). The service data may include your name, contact telephone number and email address. The service data may be processed for the purposes of providing our services, maintaining back-ups of our databases and communicating with you. The legal basis for this processing is the performance of a contract between you and us and/or taking steps, at your request, to enter into such a contract.

  • We may process information that you provide for publication on our website or social media (“publication data”). The publication data may be processed for the purposes of enabling such publication and marketing our website and services. The legal basis for this processing is consent.

  • We may process information relating to our customer relationships, including customer contact information (“customer relationship data”). The customer relationship data may include your name, your contact details, and information contained in communications between us and you. The customer relationship data may be processed for the purposes of managing our relationships with customers, communicating with customers, keeping records of those communications and promoting our products and services to customers. The legal basis for this processing is consent.

  • We may process information relating to transactions, including purchases of goods and services, that you enter into with us. (“transaction data”). The transaction data may include your contact details and the transaction details. The transaction data may be processed for the purpose of supplying the purchased goods and services and keeping proper records of those transactions. The legal basis for this processing is the performance of a contract between you and us and/or taking steps, at your request, to enter into such a contract and our legitimate interests, namely the proper administration of our website and business.

  • We may process information contained in or relating to any communication that you send to us (“correspondence data”). The correspondence data may include the communication content and metadata associated with the communication. Our website will generate the metadata associated with communications made using the website contact forms. The correspondence data may be processed for the purposes of communicating with you and record-keeping. The legal basis for this processing is our legitimate interests, namely the proper administration of our website and business and communications with users.

  • We may process any of your personal data identified in this policy where necessary for the establishment, exercise or defence of legal claims, whether in court proceedings or in an administrative or out-of-court procedure. The legal basis for this processing is our legitimate interests, namely the protection and assertion of our legal rights, your legal rights and the legal rights of others.

  • We may process any of your personal data identified in this policy where necessary for the purposes of obtaining or maintaining insurance coverage, managing risks, or obtaining professional advice. The legal basis for this processing is our legitimate interests, namely the proper protection of our business against risks.

  • In addition to the specific purposes for which we may process your personal data set out in this Section, we may also process any of your personal data where such processing is necessary for compliance with a legal obligation to which we are subject, or in order to protect your vital interests or the vital interests of another natural person.

  • Please do not supply any other person’s personal data to us, unless we prompt you to do so.

As used in the Privacy Policy, “legitimate interests” means our interests in conducting and managing our business. When we process your personal data for our legitimate interests, we make sure to consider and balance any potential impact on you and your rights under data protection laws. Our legitimate interests do not automatically override your interests. We will not use your personal data for activities are overridden by the impact on you, unless we have your consent or those activities are otherwise required or permitted to by law. You have the right to object at any time to processing your personal data that is based on our legitimate interests on grounds relating to your particular situation.

Purpose & Legal Basis For Processing Information

We process your personal information to enable us to carry out the services agreed with you either by our contract or through Legitimate Interests. By agreeing to our contracts you have already provided consent to NAHS to use your data for their business interests including marketing, social media use, competitions, editorial and any other medium, you also confirm you have directed any other relevant person to this data privacy policy.

We will not use this information for anything other than providing the service for which the information was supplied.

We may automatically collect non-personal information about your visit to our website, such as the type of browser used or the web site from which links to us are made. This information will only be used to assist us in providing an effective service on this web site. We do not supply the owners and operators of third party web sites which have a link to our site with information about the number of users linking to our site from their website.

Data Retention

We will keep your personal data only for as long as is reasonably necessary for the purposes outlined in this Privacy Policy, or for the duration required by any legal, regulatory, accounting or reporting requirements whichever is the longer. In particular, we retain your personal data for such time as deemed necessary for our business interests and we retain digital files of your photographs for a minimum period of 10 years.

  • Payment: Payment is taken through Paypal or SumUp If you wish to review their Privacy Policies, you can see this at their websites.

  • Secure Server: When you have placed your order and are required to make payment, you are transferred to the payment site, which means we do not process your financial information and therefore are not able to store it. Your payment, using the PayPal or SumUp system, is transacted through Secure Server Software, which encrypts all information so that it cannot be intercepted.

  • Third Party: You will have linked to the Payment System from our web site. We cannot be held responsible for the privacy policies and practices of these third parties, so we recommend that you check their privacy policy. You must contact its owner or operator if you have any concerns or questions that are specific to their site.

Changes To Privacy Policy

If we change our privacy policy, we will post the new policy on our website. Please visit this Privacy Policy statement on a regular basis to make sure you have read the latest version and you understand what we do with your personal information.
